Lesson 7 - Adding a new project and quick Project Page overview

Table of contents

Ok, we have configured team members detailed information based on Lesson 6, e.g. capacity, salary, type of employment. Now, we can start adding projects to the Primetric.

Types of a project

In Primetric there are many different project types. Below you can find a brief description of each one.

Project types divided by the billing model (Time & Material, Fixed Price, Non-billable)

project_billing_models.png

Choosing the right billing model is crucial when comes to assigning people to a project and managing a project's budget. More about how to configure specific projects you will find in the next lessons.

Fixed Price

Fixed Price are projects in which you agree with the client on a fixed amount of payment, in regular time intervals. It doesn't mean that price will be locked to always be the same, rather it's a concept in which income is not dependable on the billed hours of your employees. Here's the simplest example.

This is a hypothetical example!

John's company has acquired a project deal with Company A. Company A proposed a 6-month deadline and a 60,000 € monthly payment. When John creates a project in Primetric, he needs to choose Fixed Price, and in the Budget -> Scheduled tab, he needs to fill in the amount of 60,000 € for every month in the Income section.

Time & Materials

Time & Materials are projects in which you agree with the client on payment based on the billed hours of your employees. Each employee will have two rates - for income and for cost. The income rate is the amount that your client will pay for an hour of work, and the cost rate is the amount that you will pay your employee for work. Profit from that project will be the difference between income and cost.

This is a hypothetical example!

John's company has acquired a project deal with Company B. Company agreed on 4 employees, two Frontend Developers, one Backend Developer and UX/UI Designer. The agreement states that Frontend Developers will be paid 100 per hour, Backend Developer will be paid 120 per hour and UX/UI Designer will be paid 80 per hour. John, based on their contracts, pays his Frontend Developers 70 € per hour, Backend Developers - 90  € and UX/UI Designers - 55  €. The project will last 6 months. When John creates a project in Primetric, he needs to choose Time & Materials. When he adds employees, he needs to in the Budget tab of Assignment Hour rate, he needs to type in the amount agreed with the Company B. When he is assigning a contractor, he also needs to check "Use default" for Hour Cost.

When the project will run and employees will log billable hours, at the end of each month, during settlement, John will settle work for cost, which will be billable hours x cost rate, and work for income which will be billable hours x income rate for each employee.

Non-billable

The last type of projects we can add to Primetric are Non-billable projects. As the name suggests, those projects are meant to be used for logging hours for activities that are not bringing direct income to your company, such as trainings and meetings, among others. Here's a simple example.

This is a hypothetical example!

John's company has one mandatory developer meeting per week, lasting one hour, on Mondays. He wants to add this meeting as a project to Primetric, so he can better plan the utilization of his team. When he logs into Primetric, he needs to create a Non-billable project called "Developer Meeting". He will need to add all his developers and choose Weekday. Then he will add 1h to Monday and schedule all of his employees.

Project types divided by the level of completion (Active, Closed)

Generally, you can treat it as a project flag. For now, there are no differences between these two projects in the context of managing them. The most important is that you can easily separate and filter these projects and see specific information in the Reports Tab.

Example:

Your Management wants to know how much already closed projects have earned, what margin those projects have generated and how it compares to ongoing projects or future project pipeline.

Thanks to the above division you can easily check it and generate the report for your Management.

Project type divided due to certainty of implementation (Tentative, Confirmed)

tentative_confirmed.png

Basically, the principle of operation is similar to active and closed projects.

If your future project is tentative, but you want to create initial estimations or create draft assignments for your team members you can do it by setting up the level of the lekelihood.

Thanks to that you can easily create time & financial simulations, see your project pipeline in the upcoming months and possible income.

Pricing currency calculator

Primetric allows you to change pricing currency in your projects. If you have international clients and settle with them in other currencies, you can easily set up a currency and configure an exchange rate.

Thanks to that, you will see how much your client should pay you in your and their currency.

Hint: Remember this is a contractual value and should be used primarily at the stage of planning and estimating the project.

During the project and settling accounts with the client, you can adjust the currency rate to the most current in the project budget.

Assigning Manager to the Project

Each project can be assigned to one or many managers that are able to:

  • see & edit a project's details
  • assign people to a project
  • read-only

If you don't assign a manager to a project it will be available only for Managers with Organization access granted. Other managers won't see it.

Adding a new project to Primetric

To add a new project go to the Projects Tab and click Create new project button. After that, you will see the initial project creation form. Fill in the information based on the above description and click the Create button.

After clicking the Create button you will be redirected to the Project's page.

Project's page

The project's page consists of three elements:

  • Basic project's information at the top of the Project Page
  • Project's tabs which allow you to manage the project during daily usage
  • collapsible/expanded time & financial charts

Here you can find all the information about your project, e.g. Planning, Budget, Calendar, Vacancies, Timesheet, Report, Bulk edit and Activity.

Additional questions

Can I change the billing model during the project?

No, you cannot change the billing model during the project.

Can I change the duration of the project?

Yes, you can. Important: Remember that Primetric automatically creates cost & income settlement dates, so if you change the duration of the project it will not add additional settlement dates. How to configure your project's budget you will find in the next lessons.

What are the hashtags?

Hashtags are customizable tags that you can assign to projects. Thanks to that you can easily filter it in the Reports Tab. It allows you to also find specific project groups, custom statuses or other variables.

Can I add many project groups to the project?

No, you cannot. Treat Project Group as a primary group. If you want to add many tags for better filtering of your data use hashtags.

Can I assign many clients to the project?

No, you cannot. Each project can have only one client assigned to it. If you have multiple clients for similar projects you should create projects for each client.
