Lesson 13 - Reporting vacancies in the project

Overview

During project planning, thanks to the ability to predict the occupancy of our teams and efficient allocation of employees, we are able to detect shortages in our human resources earlier and assign and report them to a selected project.

Thanks to this, managers know what staffing problems are occurring and are able to properly report them in advance. This affects not only early response to shortages in our human resources but also helps to plan the necessary recruitment of people when one of our employees plans to leave the company.

In Primetric you can easily report vacancies and see forecasts to prevent hiring people on the last bell.

How to add a new vacancy in Primetric?

Vacancies in Primetric can be reported in Project by clicking the Vacancies tab.

Being in Vacancies, after clicking add vacancy, we have the opportunity to determine from when and until when a given person will be needed, indicate their seniority and the position on which they are to work. If this is not enough, we can also add a relevant note.

After approval, the new vacancy will appear on the vacancies list in our project.

Vacancies in calendar view

The application of Vacancies in each of the projects also affects the project calendar in which we have taken into account the demand and described who we need and in what position.

Vacancies in reports

What is more, by going to Report -> Vacancies, we get a holistic view of our needs for specialists in individual categories in a given month. Thanks to this, we can easily check the period in which a given specialist / specialists will be needed (available only for managers with Organization access)

What if I want to report a vacancy for a part-time employee or with the expected rates?

You can always create a "ghost user" with the specific placeholder and custom tag, e.g. "Vacancy". After that assign such a user to the project where is needed. After all, you can change the placeholder to the real name of a freshly employed employee/contractor.

Thanks to that you can forecast your capacity taking into account needed vacancies.

Resume

Planning vacancies in our project will make it easier to respond to staff gaps, and at the same time to plan ahead. This is especially important for projects that are not certain and we only assign people to them at the planning and booking stage.
