Project Progress Report Guide

Table of contents

Key advantages:

  • a quick insight into the most important information about the project and project phases,
  • see when your project or project's phase exceeded the delivery date and how many days,
  • see which projects are performing well and compare estimations vs. scheduling vs. actuals in terms of finances as well as work

How to read the report?

Chart Legend

There are a few most critical markings on the report's charts:

  • Red color means that actual time or budget was exceeded

  • Blue and green color means that time or budget is on a track (below you can see a comparison between estimations and actuals)

  • Gray color means estimations (below you can see a comparison between estimations and actuals)

  • Blue border means schedulings (below you can see a comparison between estimations and schedulings)

  • Blue fulfillment means actuals (below you can see a comparison between estimations and scheduling)

  • The vertical line is a reference to the planned completion of the project or finances (applies when the budget or time is exceeded. Below you can notice that the budget has been exceeded by more than half)

Report sections

The whole report is divided into 5 sections:

  • Basic information about the project, e.g. name, client and billing type
  • Project's duration
  • Project's costs
  • Project's work
  • Project's margin

What's more each project you can easily expand and see the project's phases. Thanks to that you can track the project's phases progress as well.

Few examples

a) Costs in the "App" project are on the track, but scheduled costs are much lower than the estimated one (83 532,06€ vs 226 200€), and 33 444,02€ was spent till the present date.

b) Actual costs in the "Faza 1" phase are exceeded in comparison to the scheduled one (6 506,65€ vs 3 999,99 €). What's more scheduled costs are almost 3 times lower than the estimated one (3 999,99€ vs 15 000€). Overall, 8 493,35€ of the budget left for this phase.

c) Scheduled costs in the "Faza 2" phase are much bigger than estimated one (34 036€ vs 19 200€), and 6 000€ actually was spent till the present date.

d) The budget in the "T&M" project was exceeded by over 27 535,77€,  because of the "Other" phase

Frequently asked questions

  • What does "actual costs" mean?

Actual costs are settled and not settled costs (without scheduled costs).

  • What does "actual work" mean?

 Actual work is the sum of settled and not settled logged hours (without scheduled work hours).

  • What happens if I don't create estimations in projects? 

Primetric will calculate the remaining budget based on scheduled and actual costs.

If you create estimations in the projects, Primetric calculates the remaining budget based on estimated and actual costs.
